Send a clear packing list, origin, destination, ready date and requested handover scope. If a detail is unknown, label it as an estimate. A useful quote should show what is included, what remains subject to confirmation and what could change the assessment.
Prepare the cargo facts
Include the actual product, number of packages, gross weight and packed dimensions by package size. Note batteries, liquids, fragile goods or other characteristics that may affect acceptance. Photos can help explain unusual packing.
Define origin and destination
A country name is not enough. Share supplier addresses or collection cities and the destination address with postal code. State whether the receiving location needs an appointment or unloading assistance.
Explain timing and the trade term
Give a cargo-ready date and a required-arrival date if there is one. Share the agreed EXW, FOB or other term, including the named place.
Read the scope before comparing totals
